Planning a wedding involves decisions that depend on each other. The venue affects guest numbers; timings influence transport; priorities guide the budget. Instead of deciding everything at once, begin with a simple sequence.

1. Agree on the experience you want

Before looking for suppliers, talk about the kind of celebration you want. An intimate gathering or a party with many guests? What matters most: the meal, music, decoration or time with your guests?

Write down three priorities each and compare them. This list will be a reference when choosing between proposals.

2. Draft a first guest list

It does not need to be final. An estimate helps identify suitable venues and costs that vary with guest numbers. Also record any accessibility, transport or accommodation needs you already know about.

3. Set a working budget

Create a table with categories, expected costs, quotes received, payments and balances. Identify the services included in each quote so you are comparing like with like.

Allow a margin for unforeseen needs that suits your situation. The aim is to see the total and make informed decisions.

4. Choose the date and compare venues

If you have flexibility, ask about more than one date. During a visit, confirm capacity, access, timings, setup arrangements and the alternative for rain. Check what is included and what needs to be booked separately.

5. Organise supplier proposals

Keep proposals in one place. For each supplier, record the contact, service, timings, materials included and questions to clarify. Confirm decisions that may affect other teams in writing.

6. Build a realistic schedule

Start with moments that have fixed times, then add travel, preparation, setup and transitions. Do not fill every minute: guests need time to move around, and the plan should allow for small delays.

7. Decide who coordinates the day

Share the final plan with those responsible. Identify who welcomes suppliers, follows the schedule and answers questions without interrupting the couple at every moment.

Our wedding day coordination helps bring together timings, details and suppliers. The scope should be agreed in advance.
